Assist the Director of Administration

Assist the Director of Administration in the different areas:


Bookkeeping and Accounting:

  • Organizing and entering information from invoices
  • Checking “anticipos” providers
  • Preparing payments to providers
  • Downloading provider invoices, managing payment invoices, receipts and follow-up with providers to get invoices
  • Controlling and managing staff expenses (monthly expenses, categories, invoices, etc.)
  • Uploading monthly staff expenses from the bank and organizing and entering information from staff expenses to the system
  • Organizing and entering personal expenses (direct expenses, payment provider invoices, anticipos) and Faculty expenses
  • Participating in accounting reviews (pending orders, balance reports)
  • Bank reconciliation (weekly, monthly review to close month)
  • Assisting with budgets and forecasts
  • Participating in other general accounting tasks: insurances, amortization, etc.
  • Improving the Accounting processes within the company

Human Resources:
  • Managing paperwork and logistics for new hires and outgoing staff members
  • Participating in creating a positive employee experience (onboarding, incentives, celebrations, etc)
  • Helping other departments accomplish their goals
  • Accomplishing other tasks related to Human Resources administration
  • Office Operations and Administration:
  • Helping with office management tasks and maintenance: office material, control inventory, stock
  • In charge of tracking office material technology: computers, screens, software
  • In coordination with the Health and Safety department, helping maintain a safe work environment in office space including insurance coverage, data protection, medical kids, etc.
  • Assisting in setting up materials for new hires
  • Managing days of the staff in office
  • Creating a safe and comfortable space for employees: relationship with office provider, coordinate Wifi needs, etc.

Other tasks:
Assisting with cultural activities or other elements of the program. Flexibility to work in other departments and tasks when needed
